Pro-Excel & LEAPX
Last updated: 22 October 2026
1. Introduction
At Pro-Excel and LEAPX, we are committed to protecting your personal information and respecting your privacy.
This Privacy Notice explains how we collect, use, store and protect personal information when you visit our websites, create an account, participate in our events, use our online Green Rooms, purchase merchandise or contact our team.
It applies to participants, parents and guardians, teachers, school leaders, customers and visitors who engage with Pro-Excel or LEAPX.
We take particular care when handling information relating to children and young people.
2. Who We Are
Pro-Excel creates performance opportunities for young people at major sporting events, primarily in the United Kingdom.
LEAPX extends these opportunities internationally, connecting dancers and schools with performance experiences, professional training and major sporting events, particularly in the United States.
The services provided under the Pro-Excel and LEAPX brands are operated by three companies:
- Pro-Excel (2002) Limited, 232 Stamford Street Central, Ashton-Under-Lyne, England, OL6 7NQ, United Kingdom — responsible for Pro-Excel event projects and the personal information processed to deliver them.
- PRO-EXCEL TV Limited, 232 Stamford Street Central, Ashton-Under-Lyne, England, OL6 7NQ, United Kingdom — responsible for merchandise sales and for taking payment for merchandise orders.
- LEAPX LLC, 6335 Contessa Drive, Unit 101, Orlando, Florida 32829, United States — responsible for LEAPX event projects and for taking payment for LEAPX services.
Which company handles your information depends on the service you use. Where an activity involves more than one of these companies, they share information only as needed to provide that service. Privacy enquiries can be sent to the email addresses below, or by post to the relevant address above.

4. How We Use Your Information
We use personal information to:
- Create and manage user accounts.
- Register participants and schools for events.
- Provide access to relevant event content and online Green Rooms.
- Save choreography progress and lesson completion.
- Provide event information, updates and support.
- Manage school-specific merchandise and online stores.
- Process orders, payments and school deliveries.
- Respond to enquiries and messages.
- Manage uploaded logos, merchandise proofs and approvals.
- Maintain the security and functionality of our website.
- Meet applicable legal, accounting and regulatory obligations.
- Send optional marketing communications where we have an appropriate lawful basis.
We aim to use only the information reasonably necessary for these purposes.
Information needed to create an account, establish event access or fulfil a purchase must be supplied for that service to work. Without the relevant information, we may be unable to provide the requested account, event access or order. Optional marketing choices and optional product personalisation are not required to use the other services.
5. Our Legal Basis for Using Personal Information
Under UK data protection law, we must have a lawful basis for processing personal information.
Depending on the activity, this may include:
Contractual necessity: where processing is necessary to provide a service, administer an agreed booking or fulfil a merchandise order.
Legitimate interests: where processing is reasonably necessary for administering our services, responding to enquiries, maintaining security or supporting event operations, provided those interests are not overridden by individuals' rights and freedoms.
Legal obligations: where we must retain or process information to comply with applicable laws, including certain financial and accounting requirements.
Consent: where we rely on permission for particular activities, such as optional marketing communications.
The lawful basis for each processing activity is assessed and documented by Pro-Excel / LEAPX.
Where we rely on consent, you can withdraw it at any time.
6. Children's and Young People's Privacy
Many Pro-Excel and LEAPX experiences involve children and young people, and protecting their personal information is particularly important to us.
A short explanation for young participants
We use your account information to let you access your event and training. When you mark a lesson complete, we save that progress for you. Your individual progress is not shown on public pages. You do not have to choose marketing messages to take part. If something about your information worries you, you can contact us or ask a parent, guardian or teacher to help you contact us.
Safeguards and authorisation
We review our services against the applicable requirements for online services likely to be accessed by children, including the Children's Code where it applies. Account arrangements, age-appropriate information and parent or guardian involvement are confirmed for the relevant activities. School authorisation is not automatically a substitute for parental consent where that consent is legally required.
We aim to ensure that:
- Personal information is collected only where necessary.
- Participant accounts are protected by appropriate access controls.
- Young people cannot access another participant's private account information.
- Schools and organisers can access only the information appropriate to their responsibilities.
- Privacy information is communicated clearly and accessibly.
- Personal information is not used for unnecessary profiling or advertising.
Where parental, guardian or school authorisation is required for a particular event or activity, this is addressed through the relevant registration arrangements.
Participants and parents or guardians can contact us if they have questions about how information is used.
7. Schools and Organisations
We work with schools, dance schools, studios and other participating organisations to coordinate events and activities.
Where appropriate, we may receive participant information from an authorised school representative or share relevant event information with that organisation. Information supplied by a school may include participant names, the school or organisation, event participation details and relevant contact information, depending on the arrangements. We explain the source and use of indirectly collected information to the people concerned within the applicable legal timeframe, unless a legal exception applies.
Schools should not send unnecessary sensitive information through general messages. If health, accessibility or other sensitive information is needed for an event, a suitable collection process, additional privacy information and the relevant legal conditions are established for that activity.
Designated School Leaders may be able to manage their school's event participation, merchandise choices, delivery information and approved branding assets.
School Leaders do not receive unrestricted access to other organisations or participants.
The respective data protection responsibilities of Pro-Excel / LEAPX and participating schools depend on the particular activity and applicable arrangements.
8. Online Green Rooms
Our Green Rooms provide registered participants with access to choreography, instructional videos, event information and progress tracking.
We may record which lessons a participant has completed so they can continue their training and monitor their progress.
Green Room information is associated with the participant's account and relevant event.
Instructional videos may be delivered through Vimeo or another approved video-hosting provider.
We do not make individual choreography progress publicly available.
9. Online Store and Payments
Our online store may offer general merchandise and event-specific merchandise.
Event-specific merchandise is available only to eligible participants whose school or organisation has been approved to access the relevant store.
We use information about event membership and school affiliation to determine which merchandise is available.
Event merchandise orders may be grouped by school for production and delivery, and deliveries may be sent to the designated school address rather than individual home addresses.
Payments are processed through Stripe, which processes payment information in accordance with its own privacy arrangements and applicable agreements with us. Merchandise payments are received by PRO-EXCEL TV Limited and LEAPX service payments by LEAPX LLC, as described in the Who We Are section.
More information is available at:
We retain the order and transaction information reasonably necessary to manage purchases, deliveries, customer service and relevant legal obligations.
10. Photography, Video and Event Media
Pro-Excel and LEAPX events may involve photography and video recording for event documentation, participant galleries and promotional materials.
Where this takes place, we will provide appropriate information about the intended use of images and recordings through event registration materials, event notices or other relevant communications.
Additional permissions or safeguards may be required where children and young people are involved.
The use of identifiable participant imagery for promotional purposes will be managed in accordance with applicable privacy requirements and relevant event permissions.
11. Marketing Communications
We may offer opportunities to receive news about upcoming Pro-Excel and LEAPX events, performances and other relevant activities.
Marketing preferences are separate from essential account and event communications.
You are not required to agree to optional marketing in order to access your account or participate in an event.
Where marketing consent is our lawful basis, you can withdraw it using the unsubscribe instructions provided or by contacting us.
We will apply appropriate additional safeguards when considering marketing communications involving children and young people.
12. Who We Share Information With
We may share relevant personal information with trusted organisations where necessary to provide our services.
These may include:
- Participating schools and authorised school representatives
- Event venues, delivery partners and relevant event organisers
- Secure website hosting and database providers, including Lovable Cloud and its underlying service providers
- Vimeo and other video-hosting providers
- Stripe and relevant payment services
- Merchandise production and fulfilment partners
- Email and communication service providers
- Professional advisers, regulators or authorities where legally required
We do not sell participants' personal information.
Where service providers process information on our behalf, we aim to ensure appropriate contractual and security protections are in place.
13. International Data Transfers
Our confirmed event destinations are Orlando, Miami, New York and Las Vegas in the United States, and Bradford in the United Kingdom. An event's location does not, on its own, establish where website information is stored or whether a particular participant's information is transferred abroad.
Because LEAPX LLC is established in the United States, information relating to LEAPX services is processed in the United States. Some of our technology providers — including our website hosting and database provider, Stripe, Vimeo and YouTube/Google — may also process information outside the United Kingdom, independently of an event's destination.
Where an international event requires relevant information to be shared with an authorised overseas venue, organiser, travel or accommodation provider, that sharing is limited to what is necessary for the arrangements.
Where personal information is transferred from the United Kingdom to a country that is not covered by a UK adequacy regulation, we rely on appropriate safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses, together with a transfer risk assessment where required. Where a US recipient is certified under the UK Extension to the EU-US Data Privacy Framework (the UK-US Data Bridge), we may rely on that certification. You can contact us for further information about the safeguards that apply to a particular transfer, or to request a copy of the relevant safeguard where available.
14. How Long We Keep Your Information
We decide how long to retain information by considering why it is needed, whether an account or event remains active, outstanding orders or enquiries, legal record-keeping requirements and the need to resolve complaints or disputes.
- Account details and choreography progress: we keep the information needed to provide your account while it remains open. You can select “Deactivate and delete account” on your Profile page. After confirmation, your login, profile, event memberships, school memberships and Green Room progress are permanently deleted from the active service; the account cannot be restored. Administrators and active School Leaders must contact us to arrange a responsibility handover before closure. Closing an account does not cancel an existing order or event booking.
- Event and school records: retained while needed to administer participation and any outstanding event responsibilities, complaints or disputes, and normally removed or anonymised within 24 months after the relevant event unless a longer period is required.
- Orders, payment references and financial records: retained to fulfil orders and handle customer-service issues, and normally kept for six years after the end of the financial year they relate to, to meet applicable accounting, tax and legal requirements.
- Logos, artwork and proofs: retained while needed for merchandise preparation, approvals, fulfilment and any related disputes. Superseded proofs may remain as a record of earlier decisions.
- School messages: messages placed in the website's bin are recoverable for up to 30 days unless an administrator permanently deletes them earlier. Expired bin messages are removed by a scheduled process. This does not set a 30-day lifetime for messages still in the inbox, other enquiries or copies in backups.
Account closure does not automatically delete necessary order, payment, fulfilment, shared school or event records, or photographs and correspondence held separately. Retained orders use a purchaser reference rather than a retained account profile; personalisation details may remain where needed for production, support or legal obligations. You can contact us to request review or deletion of separately held personal information. Copies held by payment providers are governed by their own retention obligations. Backups and security logs persist until their normal expiry, which is limited to the period set by our hosting provider, and are not used to restore a closed account for ordinary access. Where information is no longer required, it is securely deleted or anonymised, subject to any continuing legal obligation.
15. How We Protect Your Information
We take reasonable technical and organisational measures to help protect personal information against unauthorised access, loss, misuse or disclosure.
These measures may include:
- Secure user authentication
- Role-based account permissions
- Restricted access to participant information
- Protected databases and storage
- Secure payment processing
- Access controls for administrators and School Leaders
- Ongoing review of relevant security settings
No internet-based service can guarantee absolute security, but we aim to use appropriate safeguards to protect the information entrusted to us.
16. Your Data Protection Rights
Depending on the circumstances and applicable law, you may have the right to:
- Request access to your personal information.
- Ask us to correct inaccurate information.
- Request deletion of certain information.
- Restrict or object to certain uses of your information, including an objection to direct marketing at any time.
- Request transfer of certain personal information.
- Withdraw consent where processing is based on consent.
- Challenge certain decisions made solely through automated processing, where applicable.
These rights are subject to relevant legal conditions and exceptions.
To make a request or ask a question about your information, please contact:
We may need proportionate information to confirm your identity before acting on a request. We normally respond within one month, subject to the applicable rules on clarification and extensions. If an extension or a legal exception applies, we will explain it. You do not normally have to pay to exercise your rights.
You may complain to the UK's Information Commissioner's Office (ICO), whether or not you have contacted us first:
17. Cookies and Website Technologies
Cookies are small files stored on your device. Similar technologies, including local storage and session storage in your browser, can remember information without using a cookie. The rules on storing or accessing information on your device can apply to these technologies too.
Login, basket and website preferences
Our website uses browser storage to maintain your signed-in session and remember your merchandise basket. The basket is stored on your device until it is cleared or your browser removes the stored information. Session storage also supports navigation and certain temporary website choices; it normally lasts for the browser tab's session. These functions are separate from optional marketing.
Videos and third-party services
Public event videos may use YouTube or Vimeo. The embedded player loads when you choose to play the video; an external thumbnail may be requested beforehand. Green Room lesson pages currently load the Vimeo player when the lesson page opens. Loading a thumbnail or player connects your browser to the relevant provider, which receives technical information such as your IP address and browser details and may use its own storage technologies. YouTube's privacy-enhanced player is used where applicable, but this should not be understood as a guarantee that no personal information is processed.
Stripe's payment service loads when checkout is opened and may use cookies or similar technologies for payment functionality, security and fraud prevention. Website fonts are requested from Google Fonts, which also receives the technical information needed to deliver them.
For further information, see the providers' notices:
Your choices
You can accept or refuse non-essential technologies using the cookie banner, and change that choice at any time using the Cookie settings link in the footer. You can also clear or restrict cookies and browser storage in your browser settings. Doing so may sign you out, remove your saved basket or affect video playback and checkout. Clearing browser storage does not delete your account or order records; contact us if you wish to request deletion of personal information.
No separate advertising or audience-analytics tools are used on this website. When you first visit, you can accept or refuse non-essential technologies using the cookie banner. Embedded YouTube and Vimeo videos, including their thumbnail images, only load after you accept. You can change your choice at any time using the Cookie settings link in the website footer. Technologies needed to provide the service you request — such as keeping you signed in, remembering your basket and processing payment — do not require this permission.
18. United States Privacy Information
Our US event destinations include Florida, Nevada and New York. Privacy rights and obligations may depend on the person's residence, the nature of the service and the legal requirements that apply to the organisation. Holding an event in a state does not, by itself, mean that every privacy law in that state applies.
Children and parental rights
The US Children's Online Privacy Protection Act (COPPA) can apply to online services directed to children under 13, and to other services that have actual knowledge they are collecting personal information online from a child under 13. Where it applies, the required direct parental notice, verifiable parental consent and parental review and deletion arrangements must be in place before the relevant collection, use or disclosure, unless a specific exception applies. A school or studio's involvement is not a general substitute for the parent or guardian's authorisation, especially for commercial event, merchandise or marketing purposes.
Parents or guardians can contact liam@pro-excel.co.uk about the information held about their child, to request access or deletion, or to ask about stopping further collection, subject to applicable law and proportionate identity checks. The audience, ages, parental arrangements and third-party video services are assessed for each service before information is collected in a way that would require such a process.
New York's Child Data Protection Act may provide additional protections for the personal information of people under 18 where its conditions apply. Any required age-appropriate processing restrictions and consent arrangements are assessed separately; an under-13 policy alone would not address all protections for older minors.
State privacy requests
Depending on the laws that apply, US residents may have rights concerning access, correction or deletion of information, or an objection or opt-out relating to certain uses or sales. Please send requests to liam@pro-excel.co.uk and tell us which state you live in so we can assess the applicable rights. We may need reasonable information to verify the request and will explain our response and any applicable review or appeal route.
We do not sell participants' personal information. Sharing needed to provide an event, process a payment or fulfil an order is described in this notice and is assessed under the relevant legal definitions. Nevada residents may contact liam@pro-excel.co.uk with a verified request to opt out of any sale of covered information where Nevada law applies. This request channel does not imply that we currently sell such information.
Florida's Digital Bill of Rights has specific coverage conditions and is not assumed to apply solely because we operate events in Orlando or Miami. Relevant US security and breach-notification obligations are also considered alongside the privacy rights applicable to the actual services and residents involved.
Further information is available from the FTC on children's online privacy and the New York Attorney General on children's data protection.
19. Changes to This Privacy Notice
We may update this Privacy Notice to reflect changes to our services, technology, legal requirements or data protection practices.
The latest version will be available on our website, together with its last-updated date.
Where changes materially affect how personal information is used, we will take appropriate steps to inform affected users.
20. Contact
